Phone & Voice Mail Interface Module
Back to the menu.
Five Star Hotel Systems Phone & Voice Mail Interface Module connects Five Star to your voice mail system and phone system to automate four tasks: setting voice mail boxes for each new guest, turning phones on and off for each new guest, displaying the guest name on administrative phones so you can see who you are talking to, and automatically setting housekeeping status to clean or dirty when a housekeeper keys a code using the phone in the room.
Key Benefits
- Eliminates the need for front desk staff to remember and take the time to reset the voice mail and phone for long distance on each check in and check out.
- When staff forgets to clear a voice mailbox, you risk legal action! In Ottawa there was a case where a guest got a previous guest’s message and he sued the hotel. The message was – Your wife was in a car accident go to the hospital immediately.
- You know whom you are talking to when you call a room or a guest calls you. A nice service touch.
Key Features
- When you check in a guest in Five Star a voice mailbox is created. When you check out a guest in Five Star the mailbox is purged or archived.
- Upon check in, the phone is activated for long distance and it is deactivated upon check out.
- Upon check in, the guest name is sent to the phone system so any console style phone will display the guest name when he calls from a room. Upon check out, the name is removed from the system.
- When a housekeeper cleans a room they can enter a code while in the room like *321. Five Star changes the status of the room to clean. The housekeeper can alternately enter a code like *322 and the status will change to dirty.
Hardware You Will Need
This integration uses one serial port, or two if you have a Mitel switch. You can use any of your computers for this interface, just like all the other Five Star interfaces. Have your hardware person check your computers to make sure you have one (or two if Mitel) serial port(s). Have him test them by connecting the port via a Laplink cable to another computer’s serial port, and then run Hyperterminal on both. If you can type on one and see the text on the other, both ports work. Testing with a mouse does not adequately do the job. Frequently an internal modem will conflict with serial port #2. Then have your phone service company determine if your phone switch and voice mail can support this interface. The phone company calls it a Property Management System Interface (PMSI). They will do the on-site installation and make the cable. It is not necessary for Five Star to come on site to do this.
